Signing Process Steps

The seamless integration of the signing process steps enables fast handling of test drive permits.

All data is stored electronically, and verifying the signer's identity increases the reliability of the process. The processing of personal data can be restricted to the necessary individuals/groups, and deletion policies can be defined in accordance with the General Data Protection Regulation (GDPR).

Electronic Signing of a Test Drive Permit

1. The salesperson fills in the test drive permit The salesperson fills in the test drive permit form in the car dealership's system.

2. Use of the SignSpace Easy extension

  • The salesperson opens the test drive document in the Chrome browser.

  • Clicks the SignSpace Easy extension icon.

  • The system automatically reads the customer's data from the test drive document.

  • The salesperson checks and, if necessary, edits the information and saves the signature request.

3. Salesperson’s signature

  • The salesperson is redirected to the SignSpace application and signs the permit using light authentication.

  • After this, they can optionally copy the signature link and share it with the customer, for example via WhatsApp.

4. Customer’s signature

  • The customer opens the signature invitation on a phone or computer.

  • Authenticates strongly using online banking credentials or mobile ID.

  • Reads the test drive permit, attaches a photo of their driver’s license, and signs the document.

  • The signed permit can be opened in a browser or saved to the device.

5. Delivery of the signed test drive permit

  • The customer can download the permit from a secure link, or it can alternatively be sent via email.

6. Data return to the car dealership system

  • Depending on the system's capability, SignSpace can return information to the car dealership system, such as a link to the signed document and a record of successful signing.

Automation and Additional Features

  • Information can be automatically read from the PDF document and stored in SignSpace metadata (e.g., permit number, registration number).

  • Test drive permits can be shared in SignSpace with predefined groups, and routing can be refined using metadata.

  • Test drive permits can be archived in external systems such as SharePoint.

  • The customer can define a retention period for the permits, after which they will be deleted from the SignSpace system.

  • If needed, SignSpace’s advanced features — such as internal messaging, tags, and task management — can be utilised in handling test drive permits.

Required Conditions

  • In the car dealership’s system, the signer and metadata fields filled in on the form must always be located in the same positions on the PDF document that is opened in the browser.

  • The SignSpace Easy extension must be installed in the Chrome browser for each user.

  • Those who send test drive permits for signing must be users of the company’s SignSpace account and must authenticate strongly at least once.
